Qubics Infotech Pvt. Ltd. builds ERP, POS, accounting, inventory, CRM, HRMS and e-commerce software that businesses run their daily operations on. Because our software sits at the centre of how our clients work, we treat the information passing through it with the seriousness it deserves.

01 Who we are & what this covers

This policy is issued by Qubics Infotech Pvt. Ltd. ("Qubics Infotech", "we", "us" or "our"), a company incorporated in Gujarat, India under CIN U62013GJ2026PTC176144, with its office at Rhythm Sky, Signor Skyline Road, Zundal, Gandhinagar, Gujarat 382421.

It applies to:

  • The website qubicsinfotech.com and every page on it
  • Our ERP, POS, Accounting, Inventory, CRM, HRMS and E-Commerce products โ€” whether cloud-hosted or deployed on your own servers
  • Our mobile applications
  • Demos, trials, onboarding, training and support conversations
  • Custom software, mobile app, website and UI/UX design projects we take on

By using our website or software, you agree to the practices described here. If something in this policy doesn't sit right with you, stop using the services and write to us โ€” we'd rather resolve it than lose you.

02 Information we collect

Information you give us directly

  • Contact and enquiry details โ€” full name, company name, email address, phone number, business type and the solution you're interested in, submitted through our contact or demo forms
  • Account details โ€” username, password (stored hashed, never in readable form), role, branch assignment and permissions
  • Billing details โ€” company legal name, GSTIN, billing address, subscription plan and payment records. Card and bank credentials are entered directly with our payment gateway and never stored on our servers
  • Support content โ€” emails, WhatsApp messages, call notes, screenshots, screen-share sessions and any files you send while we help you resolve an issue
  • Recruitment data โ€” CVs and application details, if you apply for a role with us

Information collected automatically

  • Device and connection data โ€” IP address, browser type and version, operating system, device type, screen size and preferred language
  • Usage data โ€” pages visited, features used, time spent, referring URL, clicks and search terms inside the product
  • Audit logs โ€” login timestamps, IP of login, records created or modified, approvals and deletions. These exist for security and accountability, and are visible to your own administrators
  • Cookies and similar technologies โ€” described in section 05

Information from other sources

  • Integrations you connect yourself โ€” payment gateways, courier and logistics partners, marketplaces such as Amazon or Flipkart, e-invoicing and GST portals, SMS/WhatsApp providers and email services
  • Publicly available business information, and referral or partner introductions

We do not collect sensitive categories of personal data โ€” biometric, health, caste, religion or political data โ€” unless a specific module you have enabled requires it (biometric attendance in HRMS, for example). In that case it is collected only with clear notice, and only for that purpose.

We do not sell, rent or trade your personal data or your business data to anyone. We also do not use your business data to train third-party AI models.

04 Your customers' data inside our software

When you use Qubics Infotech software, you'll enter data about your own customers, employees, vendors and dealers โ€” names, phone numbers, addresses, purchase history, salary records. This distinction matters:

  • You own that data. You decide what is collected, how it's used, and how long it stays
  • We only process it on your instructions โ€” to host it, back it up, keep it available, and provide support when you ask
  • Our staff do not access your business records except when you raise a support request that requires it, or where access is legally compelled. Such access is logged
  • You are responsible for having a lawful basis to collect that data, and for issuing your own privacy notice to the people it belongs to

On termination, you can export your data in standard formats. See section 08 for what happens after that.

05 Cookies & tracking technologies

Cookies are small files stored by your browser. We use them for the following:

You can clear or block cookies from your browser settings at any time. Blocking strictly necessary cookies will sign you out and stop parts of the software from loading. We honour browser "Do Not Track" signals where they are supported.

06 When we share information

We share information only in these situations, and only to the extent needed:

  • Service providers. Cloud hosting and data-centre partners, payment gateways, email and SMS/WhatsApp delivery services, analytics providers, and helpdesk tools. Each is bound by contract to protect your data and use it only for the service they provide to us
  • Integrations you enable. If you connect a marketplace, courier, GST portal or payment gateway, data flows to that provider under their own privacy policy. You control which integrations are switched on
  • Professional advisers. Auditors, accountants and lawyers, under confidentiality obligations
  • Legal requirements. Where we're required to disclose by law, court order, or a valid request from a government authority; or to establish, exercise or defend a legal claim
  • Safety. To prevent fraud, security incidents or harm to any person
  • Business transfer. If we're involved in a merger, acquisition or restructuring, data may transfer to the successor entity. You'll be notified before your information becomes subject to a different privacy policy

07 Where your data is stored

Data for our cloud-hosted products is stored on servers located in India. Backups are encrypted and stored in geographically separate locations within India.

A limited number of our support and infrastructure tools are operated by providers outside India. Where information is transferred internationally, we use contractual safeguards to ensure it receives an equivalent level of protection, and we transfer only what is necessary.

If you've deployed our software on your own servers or private cloud, your data stays entirely within your infrastructure and we have no access to it unless you grant it during support.

08 How long we keep information

We keep information only as long as there's a reason to:

You can ask us to delete your data sooner. We'll do so unless a law requires us to keep a specific record.

09 How we protect your information

  • Traffic encrypted in transit with TLS 1.2 or higher; stored data encrypted at rest
  • Passwords stored as salted one-way hashes โ€” nobody at Qubics can read them
  • Role-based access control, so users see only what their role permits
  • Full audit trails on record creation, modification, approval and deletion
  • Automated encrypted backups with tested restore procedures
  • Firewalls, intrusion monitoring, rate limiting and regular patching
  • Staff access on a need-to-know basis, under signed confidentiality agreements
  • Periodic internal security reviews and vulnerability testing

If a breach happens. No system is completely immune. If a personal data breach occurs that's likely to affect you, we'll notify you and the Data Protection Board of India without undue delay โ€” describing what happened, what data was involved, and what we're doing about it.

Your side matters too: use strong, unique passwords, don't share logins between staff, remove users who leave, and tell us immediately at admin@qubicsinfotech.com if you suspect unauthorised access.

10 Your rights & choices

Under the Digital Personal Data Protection Act, 2023 and other applicable laws, you have the right to:

  • Access โ€” get a summary of the personal data we hold about you and how it's processed
  • Correction โ€” have inaccurate or incomplete data corrected or completed
  • Erasure โ€” ask us to delete data we no longer need for the purpose it was collected
  • Withdraw consent โ€” at any time, where processing was based on consent. Withdrawal doesn't affect processing already carried out
  • Portability โ€” receive your data in a structured, commonly used format
  • Object or restrict โ€” object to processing based on legitimate interest, or ask us to restrict it while a dispute is resolved
  • Nominate โ€” nominate another person to exercise these rights on your behalf in the event of death or incapacity
  • Grievance redressal โ€” raise a complaint with us and, if unresolved, with the Data Protection Board of India

To exercise any of these, email admin@qubicsinfotech.com with the subject line "Data Request". We'll verify your identity and respond within 30 days. There's no charge, unless a request is repetitive or clearly excessive.

If your data was entered into our software by a business that uses Qubics, raise your request with that business directly โ€” they control it, and we'll assist them in fulfilling it.

11 Marketing communications

We may send you product updates, feature announcements, offers and occasional newsletters if you subscribed, requested a demo, or are an existing client. Every email carries an unsubscribe link, and you can reply "STOP" to promotional WhatsApp or SMS messages.

Opting out of marketing doesn't stop essential service messages โ€” invoices, renewal reminders, security alerts, downtime notices and policy changes โ€” because these are needed to run your account.

12 Children's data

Our services are built for businesses and are not directed at children. We do not knowingly collect personal data from anyone under 18 years of age. If you believe a child's data has been provided to us, write to admin@qubicsinfotech.com and we'll delete it promptly.

13 Third-party links & services

Our website and software contain links to external sites and integrations with third-party platforms. Once you leave our site or connect an external service, that provider's privacy policy governs what happens to your data there. We aren't responsible for their practices, and we encourage you to read their policies before connecting them.

14 Grievance Officer

In line with the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023, we've appointed a Grievance Officer to handle privacy complaints.

Complaints are acknowledged within 24 business hours and resolved within 30 days. If you're not satisfied with the outcome, you may escalate to the Data Protection Board of India.

15 Changes to this policy

We update this policy when our products, partners or legal obligations change. The "Last updated" date at the top always reflects the current version.

For minor clarifications we'll simply update this page. For changes that materially affect how we handle your data, we'll email registered users and post a notice in the product at least 15 days before the change takes effect. Continuing to use the services after that date means you accept the revised policy.
